Our Service processes PDF attachments from your email inbox to extract invoice data for QuickBooks integration. We employ a “zero-storage” approach to data handling.

  • PDF attachments from your connected email inbox
  • Email metadata necessary for document retrieval
  • Extracted invoice data (vendor information, amounts, dates, line items)
  • QuickBooks project and account information for invoice association

  • We do not permanently store any of your documents
  • We do not retain extracted invoice data

2. HOW WE PROCESS YOUR DATA

Our Service follows this data flow:

  1. Retrieval: Access your email inbox to retrieve PDF attachments
  2. Processing: Use AI/LLM technology to extract invoice data from PDFs
  3. Integration: Import extracted data directly into your QuickBooks account
  4. Deletion: All temporary data is immediately purged after processing

3. DATA TRANSMISSION AND SECURITY

  • All data transmission occurs over encrypted connections (TLS/SSL)
  • Temporary processing occurs in secure, isolated environments
  • No data persists after processing completion
  • We implement industry-standard security measures during the brief processing period

4. THIRD-PARTY SERVICES

Email Providers

We connect to your email service (Gmail, Outlook, etc.) to retrieve PDF attachments. We only access attachments necessary for invoice processing.

QuickBooks Integration

We integrate with Intuit QuickBooks to create invoices and associate them with projects. This integration follows QuickBooks’ security and privacy standards.

AI/LLM Processing

We use third-party AI services to extract data from PDFs. These services process data transiently and do not retain information after processing.

5. YOUR RIGHTS AND CHOICES

Since we do not store your data, traditional data subject rights (access, deletion, etc.) are not applicable. However, you can:

  • Disconnect the Service from your email and QuickBooks accounts at any time
  • Review the invoices created in your QuickBooks account
  • Contact us with any questions about our processing practices

6. DATA RETENTION

We do not retain any of your data. All information is processed in real-time and immediately discarded after successful QuickBooks integration.

7. CHILDREN’S PRIVACY

Our Service is not directed to children under 13, and we do not knowingly collect information from children under 13.

8. INTERNATIONAL DATA TRANSFERS

Processing may occur in different geographic locations. All processing follows the same zero-storage principles regardless of location.
